5. Purposes and Legal Bases
5.1 Responding to enquiries and product sample requests
We process your information to:
- respond to your enquiry;
- assess the technical requirements of your application;
- discuss product specifications;
- prepare a quotation;
- determine whether a Bervina product or product sample may be suitable;
- contact you regarding the requested product or sample.
If you act as an individual or sole trader, the legal basis may be Article 6(1)(b) GDPR, taking steps at your request prior to entering into a contract.
If you act on behalf of a company or other organisation, the legal basis is generally Article 6(1)(f) GDPR, our legitimate interest in responding to business enquiries and developing business relationships.
5.2 Business communication and relationship management
We may retain relevant correspondence and contact details in order to:
- manage the business relationship;
- document previous discussions;
- provide appropriate follow-up;
- maintain accurate records of enquiries, quotations and business communications.
The legal basis is Article 6(1)(f) GDPR, our legitimate interest in managing business communications and maintaining accurate business records.
5.3 LinkedIn API and social media publishing
Bervina may use LinkedIn developer applications, LinkedIn APIs and authorised integrations to manage Bervina’s LinkedIn presence.
Where an authorised LinkedIn user connects an account or grants access to a Bervina LinkedIn Page, we may process limited information made available through LinkedIn, including:
- LinkedIn user or organisation identifiers;
- LinkedIn Page information;
- authorised access or administrator status;
- content submitted for publication;
- post identifiers and publication URLs;
- technical information necessary to execute and monitor publishing requests.
We use this information only where necessary to:
- authenticate authorised users;
- verify authorised access to Bervina LinkedIn Pages;
- create, schedule or publish Bervina LinkedIn content;
- manage authorised publishing workflows;
- record publication status and results;
- diagnose technical errors;
- maintain the security and reliability of the integration.
Where an authorised individual grants access directly, processing may be based on the individual’s authorisation and, where applicable, Article 6(1)(f) GDPR, our legitimate interest in managing Bervina’s business communications and social media presence.
We do not use LinkedIn API data for unrelated profiling, and we do not sell personal data obtained through LinkedIn integrations.
5.4 Compliance with legal obligations
Where required, we may process or retain information in order to comply with accounting, taxation, regulatory or other legal obligations.
The legal basis is Article 6(1)(c) GDPR.
5.5 Marketing communications
Submitting an enquiry, requesting technical information, requesting a product sample or interacting with a Bervina LinkedIn integration does not automatically subscribe you to a newsletter.
We send newsletters or unrelated promotional communications only where we have an appropriate legal basis, such as consent or another basis permitted under applicable law.
Where processing is based on consent, you may withdraw that consent at any time.
6. LinkedIn Authentication and Access Tokens
Bervina may use OAuth or other LinkedIn-supported authentication methods to enable authorised access to LinkedIn functionality.
Where LinkedIn provides authentication tokens or similar credentials, these are used only for the operation of the authorised integration.
Such credentials are not intended to be used for unrelated purposes and are handled using appropriate technical and organisational security measures.
Authorised LinkedIn access may be revoked through the relevant LinkedIn account settings, through the connected integration where available, or by contacting Bervina.
7. Automated Publishing and Workflow Automation
Bervina may use workflow automation services, including Make.com, to support authorised business and LinkedIn publishing processes.
These automated workflows may, for example:
- retrieve approved content from internal business systems;
- transmit approved publishing instructions to LinkedIn;
- record publication status;
- store LinkedIn post identifiers or URLs;
- send administrative notifications;
- detect and log publishing errors.
Automation is used to execute predefined business processes. It is not used to make decisions about individuals that produce legal or similarly significant effects.
8. Is Providing Personal Data Mandatory?
Providing personal data is voluntary.
However, certain information is necessary for us to:
- identify your enquiry;
- evaluate your application;
- contact you;
- prepare a quotation;
- arrange a product sample;
- operate an authorised LinkedIn integration.
If you do not provide the required information, we may be unable to provide the requested service or complete the relevant process.
Submitting a request does not guarantee that a product sample will be provided. Sample availability may depend on technical suitability, profile, dimensions, quantity, delivery conditions and other commercial considerations.
9. Retention Period
Enquiries that do not result in an order, contract or continuing business relationship will normally be retained for a maximum of 12 months after the last substantive communication.
After this period, personal data will be deleted or anonymised unless continued retention is required for legal reasons.
If the enquiry results in a quotation, order, contract or continuing business relationship, relevant information may be retained for the duration of the business relationship and for any additional period required by applicable accounting, taxation or other legal obligations.
Limited information may be retained for longer where this is necessary to establish, exercise or defend legal claims.
For LinkedIn integrations, authentication, publishing and technical data will be retained only for as long as reasonably necessary to operate, secure and document the integration, unless longer retention is required by law.
Where LinkedIn access is revoked, Bervina will no longer use the revoked authorisation for future API access.
10. Recipients and Service Providers
Personal data may be accessed by authorised employees and representatives of Bervina who require the information for legitimate business purposes.
We may also use service providers including:

Bervina does not sell personal data.

Some service providers, including LinkedIn, Google and workflow or IT service providers, may process personal data outside Hungary or the European Economic Area.
Where personal data is transferred outside the European Economic Area, appropriate safeguards will be applied in accordance with the GDPR.
These safeguards may include:
- an adequacy decision adopted by the European Commission;
- the European Commission’s Standard Contractual Clauses;
- other legally recognised transfer mechanisms.

- access to your personal data;
- correction of inaccurate or incomplete personal data;

We will normally respond within one month, as required by the GDPR.
14. Right to Lodge a Complaint
If you believe that the processing of your personal data infringes applicable data protection law, you may lodge a complaint with the competent supervisory authority.
In Hungary, the supervisory authority is:
Hungarian National Authority for Data Protection and Freedom of Information
Nemzeti Adatvédelmi és Információszabadság Hatóság – NAIH
Website:
https://naih.hu/
You may also contact the supervisory authority in the EU or EEA country where you live, work or where the alleged infringement took place.
15. Automated Decision-Making
Bervina does not use personal data submitted through enquiries, product sample requests or LinkedIn integrations to make decisions based solely on automated processing that produce legal or similarly significant effects.
Automated workflows may be used for administrative and publishing tasks, but they do not make legally significant decisions about individuals.
16. Data Security
Bervina applies appropriate technical and organisational measures to protect personal data against:
- unauthorised access;
- alteration;
- disclosure;
- accidental loss;
- misuse;
- destruction.
Access to personal data is limited to persons and service providers who require it for legitimate business purposes.
Authentication credentials and API-related information are handled with particular care and access is restricted to authorised persons and systems.
17. Third-Party Platforms
LinkedIn, Google, Make.com and other external platforms process certain information independently in accordance with their own terms and privacy policies.
Bervina does not control all processing performed independently by those platforms.
Users should review the privacy information provided by the relevant third-party service where appropriate.
18. Changes to This Privacy Notice
We may update this Privacy Notice where our processing activities, service providers, integrations, legal obligations or business processes change.
The current version and its effective date will be published on the Bervina website.
